Import 20: When importing records from 2010 or later, the record may have a blank in the Year field. How can I correct this on future imports?

Answer:

This is a known issue with EndNote versions X2 through 8. This issue may affect older versions, but versions prior to 8 were not tested and are no longer supported.

EndNote X3 and later – records import the year data correctly.

EndNote X2.0.4 Windows and EndNote X2.0.2 Mac Update can be found at this link. The update will correct all future imports into EndNote. See below for steps on fixing records imported before the update was applied.

EndNote X and Earlier
EndNote 2010 Plugin for EndNote 8, 9, X

This procedure modifies the work flow of importing records to use the "Custom 7" field as a temporary placeholder for "Year" information, then it automatically moves the data into the "Year" field, if the year field is empty on creation of a record. This workaround requires special connection files and filters (which are included) where the Year information is imported into Custom 7 field rather than the Year field.

Windows

  1. Download the Plugin and content files here
  2. Unzip the package to a temporary folder.
  3. Open this folder. Move the files 2010EN89.dll and 2010ENX.dll to the following folder:
    32-bit Windows:
    C:\Program Files\EndNote(Version Number)\Plugins
    64-bit Windows:
    C:\Program Files(x86)\EndNote(Version Number)\Plugins
    If there is no Plugins folder in your EndNote folder go to “File > New > Folder” (click the ALT key to see this menu in Vista or 7) and name the new folder Plugins.
  4. Open EndNote. Go to the Edit Menu, and choose Preferences.
  5. Select "Reference Types" and click the "Modify Reference Types" button.
  6. Scroll down the list to the Generic Name of Custom 7.
  7. Add the text Custom 7 to the blank box to the right of Custom 7. If the box already reads Custom 7 in both places or has a custom name on the right, simply click in the box to the right.
  8. Click the "Apply to All Ref Types" box.
  9. Click OK and close EndNote.
  10. In the temporary folder open the Connections folder. Press CTRL+A to select all of the files in the folder and then CTRL+C to copy them. Paste them in the folder:
    32-bit Windows:
    C:\Program Files\EndNote(Version Number)\Connections
    64-bit Windows:
    C:\Program Files(x86)\EndNote(Version Number)\Connections
    Note: The updated connection files and filters will have (2010) in the name, like PubMed (NLM) (2010)- be sure to use these when importing into EndNote.
  11. In the temporary folder open the Filters folder. Press CTRL+A to select all of the files in the folder and then CTRL+C to copy them. Paste them in the folder:
    32-bit Windows:
    C:\Program Files\EndNote(Version Number)\Filters
    64-bit Windows:
    C:\Program Files(x86)\EndNote(Version Number)\Filters
You have finished applying the plugin. All future imports into EndNote will now contain the correct year when using the 2010 connection files and filters.

Mac OS X
  1. Download the Plugin and content files here
  2. Unzip the package to a temporary folder.
  3. Open this folder. Move the files 2010EN89.bundle and 2010ENX.bundle to the following folder:

    Macintosh HD:Applications:EndNote(Version Number):Plugins

    *EndNote 8 and 9 users on 10.3.9 should only move the file 2010EN89.bundle. Note that testing was limited with EndNote 8 and 9 on 10.3 and 10.4, and it was not tested or supported with 10.5 or later.
  4. Open EndNote. Go to the EndNote Menu, and choose Preferences.
  5. Select "Reference Types" and click the "Modify Reference Types" button.
  6. Scroll down the list to the Generic Name of Custom 7.
  7. Add the text Custom 7 to the blank box to the right of Custom 7. If the box already reads Custom 7 in both places or has a custom name on the right, simply click in the box to the right.
  8. Click the "Apply to All Ref Types" box.
  9. Click OK and close EndNote.

You have finished applying the plugin. All future imports into EndNote will now contain the correct year when using the 2010 connection files and filters.

To fix records in EndNote with blank years
EndNote X2 and earlier – Option 1 – manual editing:

  1. Click on the year header at the top of your EndNote library to sort by year. This should put all the records with blank years at the top.
  2. Double-click on the reference to open it
  3. Add the proper year manually to the "Year" field.
  4. Close the reference to save the changes, then proceed to the next reference in the list.
EndNote X2 and earlier – Option 2 – global editing:

You are advised to make a backup of your EndNote library prior to following these global editing steps. Go to the File menu and choose "Save a copy" to save a copy of your library.
  1. EndNote X2: Click the Search tab
    EndNote X1 and earlier: Go to the "References" menu and choose "Search References"
  2. EndNote X2: Search based on
    Added to Library – is greater than – 12/1/2009 (for example)
    And
    Year – is – blank
    This will give you the most recent list of records to review.
    EndNote X1 and earlier: Search based on
    blank - is - Year

    WARNING: The following actions will apply to the entire reference list displayed. Make sure only the records to be corrected are displayed either by performing the above search or creating a group in versions X2 and X1.
  3. EndNote X2: Go to the "Tools" menu and choose "Change and Move Fields."
    EndNote X1 and earlier: Go to the "References" menu and choose "Change and Move Fields."
  4. On the Change Fields tab, select "Year" from the drop list next to "In."
  5. Under Change select “Replace whole field with:” and type 2010 in the box on the right.
  6. Click OK.
  7. A confirmation of the action is displayed prior to changing the records. Once accepted, the change cannot be reversed.
